What this kind of course needs

Five things a city course has to be able to produce.

None of them are exotic. They are the things somebody asks for months after the day they cover, usually in writing, usually by a deadline.

  • Resident and non-resident rates the tee sheet enforces on its own, set as golfer types that carry their own booking window, their own daily booking limit and their own price
  • A double entry general ledger written by the register at the moment of the sale, rather than a set of books reconstructed from a sales report weeks later
  • Sales tax collected by day and by each tax class you charge, plus a list of the sales that came out with no tax on them

Worth being straight about

What the ledger covers, and what it does not.

The profit and loss TeeWire produces is the margin on the register. Payroll, rent, insurance and debt service never touch the point of sale, so they are not in it. If your finance office needs a full statement of operations for the golf fund, TeeWire writes the revenue side of it as the sales happen, and your finance system supplies the rest.

The direct accounting connection is to QuickBooks, Online or Desktop. Plenty of cities run something else, and for those the path is a file rather than a connection: pick any date range and generate a QuickBooks import file or a plain CSV, with every batch you have generated kept in a list.

Payroll is separate. TeeWire hands over hours and labor cost for a pay period as a spreadsheet for whoever runs payroll. There is no payroll filing inside TeeWire and no check gets cut from it.

What is easy to verify before anything gets signed: the rate card is published rather than quoted.
